Administrative Assistant
Meetinghouse Facilities Department, Guam
Responsibilities:
Administrative Support
- Prepare purchase requisitions and match invoices with purchase or work orders.
- Process accounts payable, including purchasing card expense reports.
- Order requisitions for building, office, and custodial supplies.
- Maintain and update facility management databases, including records of maintenance schedules, inventory, and vendor contracts.
- Keep an orderly property, finance, and human resources records.
Coordination and Scheduling
- Arrange meetings and appointments with customers, vendors and contractors.
- Schedule and coordinate travel arrangements for the facility team.
- Collaborativelywith other departments such as finance, purchasing, and information technology.
Maintenance and Operations
- Assist with maintenance and repair tasks around the facility.
- Coordinate with vendors and contractors to ensure timely and quality service.
- Help prepare contracts and verify insurance documentation.
Inventory Management
- Maintain an inventory of assigned properties, supplies and equipment.
- Arrange for repairs or replacements when necessary.
Compliance and Safety
- Ensure compliance with health and safety regulations.
- Monitor facilities to ensure dignity, functionality, safety, and compliance with standards.
- Actively attend the safety committee meetings and take minutes.
Communication
- Resolve administrative problems and inquiries from customers.
- Communicate frequently with vendors and contractors.
- Efficiently handle incoming and outgoing emails and other correspondence.
Qualifications:
- Current temple-recommend (Required)
- At least 2-5 years of experience in administrative roles, highly valued in facility management operations.
- Preferred Bachelor's degree in business/office administration, facility management, or a related field.
- Proven ability to deal with diverse people to perform expected support and satisfactory customer service
- Proficient in the use of Microsoft Office, Outlook, Teams, Work Order Management System and Oracle
- Excellent oral, written and interpersonal communication skills.
- Ability to manage multiple tasks, prioritize effectively, and promptly address and resolve issues.
- Understanding of compliance and safety standards.
